Conference Information

Hi Swim Families! We are so excited about the Conference meet coming up this Saturday. There are a lot of details for swimmers and volunteers, so please be sure to read this email thoroughly. Thank you for your support in making sure the meet is a success and please let us know if you have any questions!

Schedule for River City Racers Conference, July 13th @ Kirkwood HS Walker Natatorium

Arrival @ 7:15

Please arrive at 7:15 to get your swimmer settled in the bullpen area of the main gym. There will be a large CSC Banner and CSC A-Z Roster Sheets hanging in our area. Please have your swimmer’s name and events clearly printed on their arm. Your swimmer will need to stay in the bullpen until they have completed ALL of their events.

Volunteers ✔-in @ 7:30

Volunteer check in will begin at 7:30 in the gym. EVERY VOLUNTEER needs to check in at this time, regardless of shift start time. You will receive your name tag, any supplies you’ll need, and instructions for your assignment. During the meet, there will be floating volunteers in all areas to provide breaks and assistance. DO NOT leave your assigned station without first checking in with this volunteer. Volunteer timing and descriptions

Warmups @ 7:40

Crestwood swimmers will warm up in lanes 1-3 from 7:40-8:00am.

Timer Meeting @ 8:15

Timers will have a mandatory meeting at 8:15, and both shift A and B workers need to be present for this meeting (if volunteering, see attached document for meeting info). If timing, please have empty pockets and wear tennis shoes.

Staging/Bullpen Meeting @ 8:15

Bullpen workers will have a mandatory meeting at 8:15. This will be specific to those working the conference staging area (not the CSC crash site).

CSC Crash Site Meeting @ 8:15

Volunteers working in the CSC specific bullpen (crash site) will meet to formulate a plan for managing swimmers. Parent reps will help guide this group, but will not be consistently stationed in this area.

Meet Start @ 8:30

The meet will start promptly at 8:30am.

Shift Change

Shift A workers will be finished after the Free Relay events are complete, Shift B workers need to start heading to their station during the free relay. If you are working shift B, please be mindful of this and arrive at your assigned station on time. Announcements will be made on the loudspeaker and through Swimtopia.

General Meet Reminders & Information

Food: There will not be concessions in the natatorium or gymnasium, however, there will be two food trucks (woohoo!) available in the area between the two buildings: a coffee truck and a crepe truck. Please see the attached menus for details and pricing.

Trash: We are so thrilled to be swimming at KHS again this year. Please remind your swimmer to clean up after themselves and be respectful of all areas.

Safety: Just like at our weekly meets, safety is important! Remind your swimmer that there is no running, rough play, or balls allowed in the gym or pool deck area.

Spectator Viewing: No one will be allowed on the pool deck except for authorized volunteers and swimmers. Parents will be able to watch swimmers from the bleachers above the pool.
